TITLE: Reception Secretary

STATUS: Non-Exempt/Full-Time (37.5 hours/week)

SUMMARY
We are seeking a professional and friendly Reception Secretary to be the first point of contact at our Meriden office. This role is essential to the smooth operation of our administrative functions and supports our Programs Division with a variety of clerical tasks. The ideal candidate is organized, tech-savvy, and enjoys helping others.
SUPERVISORY RESPONSIBILITIES: None
ESSENTIAL DUTIES/FUNCTIONS:
- Answer and direct incoming phone calls, take messages, and ensure timely delivery to staff.
- Greet and direct visitors to appropriate departments.
- Sort and distribute incoming mail; process and send outgoing mail using the postage machine.
- Maintain staff mailboxes and office supply inventory; place supply orders as needed.
- Send and receive faxes, and distribute accordingly.
- Provide administrative support to the Programs Division, including data entry and documentation.
- Maintain and update client benefit records.
- Distribute paychecks to selected staff and clients bi-weekly.
- Monitor and maintain front office equipment, including scheduling service when necessary.
- Keep reception and mailroom areas stocked with necessary forms and supplies.
- Keep the Reception Secretary Training Manual up to date.
- Assist with conference room reservations and attend agency meetings as needed.
- Support overall safety and operational procedures.
REQUIREMENTS:
- High School Diploma or equivalent.
- Minimum of 2 years of relevant secretarial or administrative experience.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
- Strong verbal and written communication skills.
- Valid Connecticut Driver’s License and reliable transportation.
- Current automobile insurance (if using personal vehicle for work).
ADDITIONAL REQUIREMENTS:
- CPR and First Aid certification (training provided).
- Physical ability to operate standard office equipment (computer, copier, fax, etc.).
- Must be comfortable working in a fast-paced, team-oriented environment.
WORK SCHEDULE:
Monday to Friday, 8am-4pm. No Weekends
